Privacy Policy

Effective November 6, 2026

Pinpoint Integrated AI LLC ("Pinpoint", "we", "us") provides DispatchHQ, dispatch software used by trucking companies ("our customers"). This policy explains what information we handle and how. Our customers decide what information goes into DispatchHQ about their own loads, drivers and clients, and we handle it on their behalf.

Information we handle

  • Account information: names, work email addresses and phone numbers of the people at our customers who use DispatchHQ, and the company's business details.
  • Operational information: load details (pickup and delivery locations, times, commodity, mileage, rates), bill of lading information and photos, weight tickets, invoices, and driver pay records.
  • Driver information: a driver's name, mobile number, and the insurance or other paperwork a trucking company chooses to upload.
  • Customer and receiver contacts: a business name and mobile number a trucking company enters in order to send delivery updates or a bill of lading for signature.
  • Electronic signatures: when a receiver signs a bill of lading electronically, we record the signature, typed name, the time, the phone number the link was sent to, the device's IP address and browser type, and when they agreed to sign electronically.
  • Technical information: basic logs and cookies needed to keep people signed in and to protect the service.

How we use it

  • To provide DispatchHQ: assigning loads, sending the text messages described in our Text Messaging Terms, storing bills of lading and producing invoices and reports.
  • To secure the service, prevent misuse, and fix problems.
  • To respond to support requests and meet legal obligations.

We do not sell personal information. We do not use mobile phone numbers or text message consent for marketing, and we do not share them with third parties or affiliates for their marketing or promotional purposes.

Who we share it with

Only with service providers that help us run DispatchHQ, such as our text messaging provider (Twilio) and our hosting provider, and only as needed to deliver the service. If a customer uses the optional photo-reading feature, the photo of a bill of lading is sent to an AI service to read the text on it. We may also disclose information if required by law. Information about a trucking company's loads is visible only to that company's own users.

How long we keep it

We keep information for as long as a customer's account is active so they can keep their records, and then for a reasonable period afterward unless the customer asks us to delete it or the law requires otherwise. Customers can download their own records at any time.

Security

We use access controls, separate company data, and secure connections to protect information. No system is completely secure, but we work to protect what we hold.

Your choices

  • Text messages: reply STOP to any message to stop receiving texts from that number. See the Text Messaging Terms.
  • To ask what we hold about you, or to ask for a correction or deletion, email us at the address below. If your information was entered by a trucking company, we may refer you to that company, because it controls that information.

Children

DispatchHQ is for business use and is not directed to children under 18.

Changes

If we change this policy we will post the new version here with a new effective date.
